I. General Return Requirements

All rented equipment, tools, furniture, appliances, stage equipment, and cars must be returned in the same condition as received, accounting for normal wear and tear. Normal wear and tear is defined as minor scratches, scuffs, or signs of use that occur during the regular and proper use of the rented items. Renters are responsible for inspecting the rented items upon receipt and notifying us immediately if there are any pre – existing damages or issues.
Upon return, renters must notify our customer service team of any damages, losses, or issues that occurred during the rental period. Failure to report damages or issues promptly may result in the renter being held liable for additional charges.

II. Item – Specific Return Policies

A. Tools and Equipment

  1. Cleaning and Maintenance: Renters are required to clean all tools and equipment thoroughly before returning them. This includes removing dirt, debris, and any other substances that may have accumulated during use. Equipment should be properly lubricated, adjusted, and in good working order, as per the manufacturer’s instructions.
  1. Parts and Accessories: All rented tools and equipment must be returned with all accompanying parts, accessories, and user manuals. Any missing parts or accessories will result in repair or replacement costs being charged to the renter. The cost of replacement parts and accessories will be based on our current inventory prices, plus any additional handling and shipping fees.
  1. Damage Assessment: Our team will conduct a thorough inspection of the returned tools and equipment upon receipt. If any damages are found, we will assess the extent of the damage and determine the repair or replacement costs. Renters will be notified of the damages and the associated charges within [X] business days of the return.

B. Furniture and Appliances

  1. Cleanliness and Condition: Furniture must be returned free of stains, damage, excessive dirt, and any signs of misuse. Upholstered furniture should be vacuumed and cleaned, and wooden furniture should be free of scratches, dents, or watermarks. Appliances should be in working order, clean, and free of any food debris, stains, or damage. Renters are responsible for ensuring that all appliances are disconnected from power sources and properly prepared for return.
  1. Accessories and Documentation: All rented furniture and appliances must be returned with all included accessories, such as remote controls, power cords, and user manuals. Any missing accessories or documentation will result in additional charges.
  1. Damage and Restoration: If any damages are found upon return, we will assess the cost of restoration or replacement. Renters will be liable for all costs associated with repairing or replacing damaged furniture and appliances, including labor, materials, and any necessary transportation fees.

C. Stage Equipment

  1. Configuration and Integrity: Stage equipment must be returned in the exact configuration as provided, with all components, accessories, and safety features intact. This includes lighting fixtures, sound systems, stage structures, rigging equipment, and any other related items. Renters are responsible for ensuring that all stage equipment is properly dismantled (if applicable), packed, and labeled for easy identification and inspection.
  1. Technical Inspection: Our technical team will conduct a detailed inspection of the returned stage equipment to ensure that it is in good working condition and meets our safety and quality standards. Any missing parts, damaged components, or malfunctioning equipment will result in repair or replacement costs being charged to the renter.
  1. Event – Specific Considerations: In the case of stage equipment rentals for events, renters are responsible for ensuring that the equipment is returned in a timely manner after the event has concluded. Delays in returning stage equipment may result in additional charges, as well as potential penalties if it causes disruptions to our other rental commitments.

D. Cars

  1. Fuel and Condition: Cars should be returned with a full fuel tank (if rented with a full tank), in clean condition, and without any damage beyond normal wear. Normal wear includes minor scratches, dents, or tire wear that occur during regular driving. Renters are responsible for refueling the vehicle before return or paying a fuel surcharge based on the market price of fuel and the amount of fuel used.
  1. Cleaning and Inspection: Our team will inspect the returned car for cleanliness, damage, and any missing items. If the car is not clean, renters will be charged a cleaning fee. Any damages found will be assessed, and renters will be liable for the repair costs, which may include bodywork, mechanical repairs, or replacement of damaged parts.
  1. Documentation and Return Process: Renters must return the car keys, any remote controls, and all rental – related documentation, such as the rental agreement and fuel receipt. Failure to return all required items may result in additional charges.

III. Exchange Process

A. General Eligibility

Exchanges for rented equipment, tools, furniture, appliances, stage equipment, and cars are considered on a case – by – case basis. Valid reasons for exchange may include:
  • Malfunction or Defect: If the rented item is malfunctioning or defective upon receipt or during the rental period, we will arrange for an exchange as soon as possible.
  • Incorrect Item Delivery: In the event that you receive the wrong item, we will exchange it for the correct item at no additional cost (subject to availability).
  • Change in Rental Requirements: If your rental requirements change due to unforeseen circumstances, and we have the available inventory, we may consider an exchange. However, additional fees may apply depending on the nature of the change.

B. Item – Specific Exchange Procedures

  1. Tools, Equipment, Furniture, and Appliances: If you need to exchange a rented item in these categories, contact our customer service team as soon as possible at Joseph1Holmes@outlook.com or +44 7400 467013. Provide details about the reason for the exchange, the item you received, and the item you would like to exchange it for. We will assess the availability of the replacement item and arrange for the pick – up of the original item and the delivery or availability of the replacement item. Additional fees may apply if the replacement item has a higher rental value, requires special handling, or if there are any associated transportation costs.
  1. Stage Equipment: For stage equipment exchanges, due to the complex and technical nature of the equipment, it is essential to contact our customer service team immediately. 

    IV. Refund Policy

    A. General Refund Rules

    • Cancellations: Cancellations made prior to the start of the rental period are subject to the following fees, which vary depending on the time of cancellation:
      • Early Cancellations: If cancelled 7 days or more before the rental start date, a cancellation fee of 10% of the total rental amount will be charged. The remaining balance will be refunded to the original payment method within 7 business days.
      • Late Cancellations: Cancellations made within 7 days of the rental start date will result in the forfeiture of the full rental amount, and no refund will be issued.
    • Early Returns: Returning rented items early does not automatically entitle renters to a refund. However, in some cases, such as when renting high – value or specialized equipment for a long – term project that is completed ahead of schedule, we may consider providing a partial refund at our discretion. Renters must contact our customer service team to discuss the possibility of an early return refund.
    • Refunds for Defective Items: If a rented item is found to be defective upon receipt and cannot be exchanged in a timely manner, renters may be eligible for a full or partial refund, depending on the circumstances. We will assess the situation and issue the refund to the original payment method within 7 business days.

    B. Item – Specific Refund Considerations

    1. Tools and Equipment: In the case of tools and equipment rentals, if a defect is discovered that renders the item unusable, and we are unable to provide a replacement, renters will receive a full refund for the unused portion of the rental period. If the defect is minor and can be repaired quickly, we may offer a partial refund based on the estimated downtime.
    2. Furniture and Appliances: For furniture and appliance rentals, if an item is damaged or malfunctioning upon delivery, and we cannot provide a suitable replacement, renters will be refunded the full amount paid for the rental. If the issue can be resolved with repair or cleaning services, we may deduct the cost of these services from the refund amount.
    3. Stage Equipment: Given the critical nature of stage equipment for events, if a malfunction occurs that affects the event’s performance and we cannot provide a replacement in time, renters will be eligible for a full refund. For minor issues that can be addressed during the event, we may offer a partial refund based on the impact on the event.
    4. Cars: If a rented car has a mechanical issue that makes it unsafe to drive, and we cannot provide a replacement vehicle, renters will receive a full refund for the unused portion of the rental period. Additionally, we will cover any reasonable expenses incurred by the renter due to the car’s malfunction, such as towing fees or alternative transportation costs, up to a specified limit.

    V. Dispute Resolution for Returns and Exchanges

    In the event of a dispute regarding a return or exchange, renters and TYPICAL TYPE EVENTS LIMITED will attempt to resolve the issue amicably through direct communication. If the dispute cannot be resolved through negotiation, both parties agree to submit to mediation or arbitration as a final means of resolution. The costs associated with mediation or arbitration will be shared equally between the parties, unless otherwise determined by the mediator or arbitrator.
